Customizing Email Reminders for Virtual Appointments

For virtual appointments, such as "Telephone Calls" or "Video Calls," displaying the physical office address can be confusing for patients. To address this, a custom keyword can be added to the body of the email to suppress the office location for these specific appointment types.

The following setting should be implemented in the email template:

{{SuppressOffice}}Location: {{officeAddress}}{{/SuppressOffice}}

By using this setting, the system will automatically hide the office location for appointments designated as virtual. The {{officeAddress}} keyword can be replaced with {{officeFullName}} if the goal is to show only the clinic's name without the physical address.

Virtual Appointments: Suppressing the Location & Displaying the Hardcoded Statement

When the office location is suppressed for a virtual visit, a hardcoded statement will be automatically added to the end of the email body to inform the patient about the nature of their virtual appointment.

In-Person Appointments: Displaying the Location

For all in-person appointments, the email reminder will function as standard. The {{SuppressOffice}} condition will not be met, and therefore, the office location will be included in the email. No additional message will be added, providing a clear and straightforward reminder for patients who need to travel to the clinic.
