Accessing Reminder Settings
Only users with Admin permissions can configure appointment reminders in Cerebrum.
To access the Reminder Settings:
- Log in to Cerebrum.
- Navigate to the Admin tab.
- Select Reminder.
Preparing the Email Reminder Service
Before you can send email reminders, your clinic must have access to an SMTP email server. Please refer to [article link for Office Email page] for more details.
When Email Reminders Are Sent
Email reminders are sent automatically when:
- The patient has a valid email address added in their profile.
- The "Consent Email" setting in the patient's profile is set to YES.
- The appointment date falls within one of your configured reminder timing intervals.

The following statuses will receive Email Appointment Reminders:
No Answer
Busy
Not in Service
Indeterminate
To Be Confirmed

If an appointment is cancelled after an appointment reminder has been sent, the confirmation link in the reminder email will no longer be active.
Patients who attempt to use the confirmation link will see a message indicating that the appointment has been cancelled and can no longer be confirmed.

Configuring the Email Message
- Select the relevant Office location for which you are configuring reminders.
- Enter a concise Email Subject.
- Compose the Body Message for the email. You can use supported keywords for customization.
- Save your changes.
Example Email Template:
This is a message from {{officeFullName}} for {{patientFirstName}} {{patientLastName}}.
You have an appointment with Dr. {{doctorLastName}} on {{appointmentDate}} at {{appointmentTime}}.
You will be having an {{testFullName}}. {{testInstruction}}

"This is a message from YourCardiacCentre for Jane Doe.
You have an appointment with Dr. Zhivago on Wednesday, January 23, 2019 at 2:00 PM.
You will be having an Echocardiogram. Please wear loose clothing and refrain from perfume or deodorant.
